This article is aimed towards setting up, and maintaining recurring memberships and their auto-billing. Please note that auto-billing is currently only available for monthly memberships, and does not work with play pass memberships. Also, auto-billing is only available for customers who have an integrated WorldPay account for in house payments (eCommerce accounts are not supported).
For setting up monthly memberships in LilYPad, please check out the “How to Sell a Membership” help article.
Fully complete a monthly membership sale as per the “How to Sell a Membership” help article using a Credit Card through an integrated WorldPay payment.
If a membership is not paid using a credit card, the recurring payments function will not work. More information about how to resolve this is included later in this help article
Search for the membership by going to Search > Membership Search, and click “View History” beside the membership you wish to configure for recurring payments
Click “Edit” on the right of the Customer’s membership details
Select the appropriate membership product/occurrence. Note: This can be changed by staff at any time if a customer would like to change their membership duration.
Click “Save”
A token of the customer’s credit card used for the initial payment is stored on their profile and will be used to renew the membership on the “End Date” shown on the membership.
From the “Product” drop down, select “***Disable this auto recurring membership***”
This membership will now no longer be charged/renewed when the membership expires.
The Alerts section of LilYPad will display failed, successful, and upcoming renewals for auto recurring memberships.
If a payment has failed for any reason, the membership will be displayed under the “Failed Renewals”. If a customer paid with another credit card, you can mark the payment as manual by clicking “Change Status to Manually Paid” which will place this membership under the successful renewals with a “Manual” payment status.
When editing a membership and trying to select a recurring you may see a message:
“Automatically Recurring Membership requires a customer with a credit card token on file. Once a customer pays with a credit card, a token will be stored and you can use this feature.”
You will see this message if the customer did not initially pay for the membership with a Credit Card through an integrated WorldPay payment, or if the membership was created before recurring payments were added to LilYPad. To resolve this, make a payment with a Credit Card on any sale with their profile attached to a sale. This can be done on a new, or preexisting sale. This will add a token to their profile and you can then select a recurring product.
